BOOSTER Update – General Membership Meeting

Join us for our annual general meeting THIS Monday May 13 @ 6:00 PM in the Band Room.

Parents from ALL programs are encouraged to come and incoming Freshman and Rookie Parents are welcome!

We will discuss the upcoming kick-off camp in May, Silent Command in June, and Band camp in July.

We will also be discussing the Booster Board and committees for next year.  All positions are open to nominees - the board duties are listed below - if you are interested in nominating yourself or someone else for a board or committee chair position, please send an email to chsvbb@gmail.com. Nominations can also be made in person at the meeting on Monday. In the event more than 1 nominee per position is nominated Voting will occur via google forms on May 20th.

BOARD DUTY DESCRIPTIONS:

PRESIDENT:

  1. Preside over all meetings of the Board and maintain order. 
  2. Have co-signer authority on any checks issued. 
  3. Serve as a liaison to the Directors, acting on behalf of the Directors as requested. 
  4. Serve as a liaison to the high school Principal. 
  5. Serve as a liaison to the other organizations. 
  6. Be an ex-officio member of all committees. 
  7. Appoint committees and chairs and direct their activities. 
  8. Form temporary committees, as needed.

VP:

  1. Ensure accuracy of order and distribute Marching Band Show Shirts.
  2. Perform the duties of the President in his/her absence. 
  3. Have co-signer authority on any checks issued. 
  4. Assist and serve as a liaison to all committee chairs

TREASURER:

  1. Keep the accounts of the Boosters organization. 
  2. Collect, deposit and disburse monies, as necessary and designated by the Board. 
  3. Collect and issue receipts for money received and disbursed. 
  4. Maintain the savings and/or checking accounts for the organization, as necessary. 
  5. Have co-signer authority on any checks issued. 
  6. Maintain receipt books, checkbooks, and accurate records in accordance with good bookkeeping practices. 
  7. Present monthly written financial statements to the Board. 
  8. Prepare Annual Tax and Annual Corporation Commission reports.

SECRETARY:

  1. limited to: 
    1. Original Articles of Incorporation 
    2. Original Bylaws (present, past, and all amendments) 
    3. Copies of the Annual Corporation Commission reports 
    4. Any official IRS forms and/or correspondence 
    5. Any other official corporate documents and/or resolutions deemed appropriate 
  2. Keep an accurate record of the proceedings of all meetings. 
  3. Distribute minutes of the previous and past General and Board meetings, as requested, to include but not limited to roll call, presentations and reports. 
  4. Develop meeting sign-in sheets and voting placards. 
  5. Be responsible for recording the votes at all meetings. 
  6. Develop all necessary forms and supplies as requested by the Board

GUARD PARENT:

  1. Serve as a liaison with the Color Guard Director.
  2. Serve as a member of the Fundraising Committee. 
  3. Perform other duties as deemed necessary by majority vote of the Board.

ORCHESTRA PARENT:

  1. Serve as a liaison with the Orchestra Director. 
  2. Serve as a member of the Fundraising Committee. 
  3. Perform other duties as deemed necessary by majority vote of the Board.

NEW MEMBER PARENT:

  1. Have at least one (1) year Booster experience to serve as a liaison to families of incoming freshmen students. 
  2. Assist the Secretary, during the General meeting, with signing-in and voting. 
  3. Chair the Scholarship Committee, for determination of scholarship recipients, at the year-end banquet. 
  4. Perform other duties as deemed necessary by majority vote of the Board.
